Adding a SourceLink Account in Outlook (Latest Versions)
In order to allow Outlook to connect to your Google email account, you will need to generate a Google application password, which will be used instead of your usual password you may use to login via gmail.com. This is a multi-part process and will take several minutes to complete.
Generate Application Password
- Go to Google Account, and click on Security from the right menu, direct link
- Click on 2-Step Verification right under How you sign in to Google
- Enter your password, turn on and activate 2-Step Verification for your account (if not enabled already)
- Scroll down to App passwords, and click on the arrow to the right to proceed
- Select Mail from the first drop down, select Windows Computer or Mac for the device
- Click on Generate
- Save the new password it gives you, it will be a 16 digit string of letters (see below)
Add Your SourceLink Account to Outlook
- Click File
- Click Account Settings ⇾ Account Settings
- Click New
- Enter your Email, click on Advanced Settings and select Let me setup my account manually⇾ Connect
- Click POP or IMAP ⇾ Next
- Enter the following:
- Your Name: for a personal account: ex “Joe Schmoe” or SourceLink account: ex: “KCSourceLink”
- Email Address: ex: [email protected]
- Account Type: IMAP
- Incoming mail server: imap.gmail.com
- Outgoing mail server (SMTP): smtp.gmail.com
- User Name: ex: [email protected]
- Password: YOUR APPLICATION PASSWORD FROM EARLIER STEP
- Click More Settings …
- Click Outgoing Server
- Check My outgoing server (SMTP) requires authentication
- Click Advanced
- Change both dropdowns initially set as None to SSL
- Change Outgoing server (SMTP) to 465
- Click OK
- Click Next ⇾ Close
Adding a SourceLink Account in Outlook (2016 and earlier)
- Click File
- Click Account Settings ⇾ Account Settings
- Click New
- Click Manual setup or additional server types ⇾ Next
- Click POP or IMAP ⇾ Next
- Enter the following:
- Your Name: for a personal account: ex “Joe Schmoe” or SourceLink account: ex: “KCSourceLink”
- Email Address: ex: [email protected]
- Account Type: IMAP
- Incoming mail server: imap.gmail.com
- Outgoing mail server (SMTP): smtp.gmail.com
- User Name: ex: [email protected]
- Password: your password
- Click More Settings …
- Click Outgoing Server
- Check My outgoing server (SMTP) requires authentication
- Click Advanced
- Change both dropdowns initially set as None to SSL
- Change Outgoing server (SMTP) to 465
- Click OK
- Click Next ⇾ Close
Removing a SourceLink Account in Outlook (2016 and earlier)
- Click File
- Click Account Settings ⇾ Account Settings
- Click on the Email Address you want to remove
- Click Remove ⇾ Yes
- Click Close
Common Troubleshooting Tips
If you have trouble adding your SourceLink email account to Outlook (e.g. repeatedly being asked to enter your username and password), please try to adjust the following additional settings.
Turn on IMAP / POP Access
You may need to check that IMAP and POP access has been provided for your account. To accomplish this, please go to Gmail, enter your [email protected] email and password. Once in Gmail, click on the gear icon located in the top right of the website and select the See All Settings link. Select the Forwarding and POP/IMAP tab, then ensure that IMAP access is currently set to Enable IMAP. Try to add your SourceLink email account to Outlook again. If this does not work, proceed to the next step.
Allow Less Secure Applications Access
You may need to allow less secure applications access to your SourceLink email account. To accomplish this, go to Google Accounts, enter your [email protected] email and password, click on Security from the left menu, scroll down to Less secure app access and select Turn on access. Try to add your SourceLink email account to Outlook again.
